The company responsible for your data

This policy covers one activity: handling business enquiries and quotation requests submitted through this website or sent to us by email. We do not run a webshop, we do not operate advertising accounts, and we do not sell data.
Data you give us
The quote request form on the Contact page collects exactly the following:
- Full nameRequired. So we know who we are replying to.
- CompanyRequired. Quotations are issued to a company, not to an individual.
- Work emailRequired. The address the quotation and any clarifying questions are sent to.
- PhoneOptional. Used only if a specification question is faster resolved by phone.
- CountryRequired. Determines shipping, documentation and export requirements.
- What you needRequired. Equipment, spare parts, or not sure yet — routes the enquiry internally.
- Part number / specOptional. Free text used to identify the item.
- MessageRequired. Your description of the requirement.
- AttachmentsOptional. Spec sheets, drawings or photographs you choose to upload.
- ConsentRequired. Records that you agreed to be contacted about this request.
Please do not upload documents containing personal data about other people, or material you are not permitted to share. If an attachment is confidential, say so in the message and we will treat it accordingly.
The form also contains one hidden field that is never shown to you. If it is filled in, the submission is discarded as automated spam. Nothing about you is inferred from it.
Data collected automatically
When the form is submitted we record the submission timestamp and the IP address the submission came from, together with the browser user-agent string. This is kept for abuse prevention and to investigate delivery failures. Our web server also writes standard access logs.
This site sets no advertising or analytics cookies and contains no third-party tracking pixels or social media embeds.
Why we hold it
We use the data you submit to identify the item you need, ask clarifying questions, prepare and send a quotation, and — if you place an order — to arrange supply, documentation and shipping. We also keep enquiry records so that a repeat order can be matched to what was previously quoted.
The legal grounds are your consent, given by ticking the consent box, and our legitimate interest in responding to business enquiries and keeping commercial records. Where an order proceeds, processing is also necessary for the performance of that contract, and some records are kept because tax and customs law requires it. We do not use your details for marketing and there is no mailing list on this site.
Amazon SES and other processors
Transactional email from this site — the copy of your request that reaches our quotations desk, and the acknowledgement sent to you — is delivered using Amazon Simple Email Service (Amazon SES), operated by Amazon Web Services. To send that message, Amazon SES processes your name, email address, and the contents and attachments of your request. Amazon SES acts on our instructions as a processor and does not use the content for its own purposes. Delivery metadata such as bounces and complaints is returned to us and retained so we can tell whether a quotation actually arrived.
Our other processors are our website hosting provider and our business email provider, which store the enquiry as part of ordinary mail and server operation. We use no other third-party service to process enquiry data.
This site is hosted on Amazon Web Services and transactional email is sent from the Amazon SES Asia Pacific (Singapore) region, ap-southeast-1. Business email is held on our own corporate mail service. A current list of processors is available from privacy@yupiterbj.com on request.
Who else may see it
To price and source an item we may need to pass technical details of your request to a manufacturer, distributor or freight forwarder. In that case we share what is needed to identify the item and to arrange delivery — typically the part or equipment details, quantity and destination country. We do not pass on your message, your attachments or your contact details to third parties for their own marketing.
We may also disclose data where we are legally required to, for example to customs authorities or in response to a lawful order. We never sell personal data.
Where it is held, and for how long
We are based in Indonesia, so data submitted through this site is processed in Indonesia and — through Amazon SES and our hosting provider — may be processed on servers in other countries, including the United States. Where a transfer of that kind takes place we rely on the standard contractual protections offered by those providers.
Enquiries that do not lead to an order are kept for 24 months from the last message, then deleted. Where an order is placed, the related records are kept for as long as accounting, tax and customs law requires. Server and email delivery logs are kept for a shorter period, normally no more than 12 months.
Access, correction, deletion
Write to privacy@yupiterbj.com and you can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, or withdraw the consent you gave on the form. Withdrawing consent stops further contact about that enquiry; it does not affect anything already done, and records we must keep for legal reasons are retained.
We answer requests of this kind within 30 days. Please write from the email address used on the enquiry, or give us enough detail to locate the record.
Practical points
The site is served over HTTPS and access to enquiry records is limited to staff who handle quotations and orders. No transmission over the internet can be guaranteed completely secure, so please do not send us information you would not want an email system to hold.
This is a business-to-business site and is not directed to children; we do not knowingly collect data from anyone under 18. If we change this policy we will update the date at the top of the page, and if the change is significant we will say so on this page.
